🌟 1. What Is DigitalDesk?
DigitalDesk is a personal productivity hub that lives in your browser. Think of it as a digital desk drawer: a notepad, a task checklist, a day planner, an alarm clock, a bookmark shelf and a screenshot folder, all in one tidy window.
It is built around three simple ideas:
- 🧩 Simple — no sign-up, no login and nothing complicated to configure. Open it and start working.
- 🔒 Private — what you create is stored in a folder you choose on your own device. There is no account, no data tracking and no monitoring.
- 🎒 Portable — use it online in a modern web browser, or download the offline version, which is a single HTML file you simply open.
🧰 What You Can Do With DigitalDesk
- 📝 Capture quick notes and sort them into categories
- ✔️ Track tasks with dates, times and repeating reminders
- ✅ Build to-do checklists
- 🗓️ Plan a realistic day or a whole project with the Daily & Weekly Planner
- ⏰ Set alarms and manage notifications
- ⭐ Keep your favorites one click away
- 📸 Save screenshots in an archive
- 📅 See your dates in a calendar
- 🗑️ Bring back deleted items from the Recycle Bin
- 🧘 Open digital wellness and online-safety resources from the Wellness panel
👥 Who Is It For?
Students taking quick notes, office workers managing tasks, freelancers organizing ideas, writers saving drafts, creators planning content, and anyone who wants a simple, distraction-free place to keep their day in order. DigitalDesk is free to use, with no sign-up, no ads and no premium plans.
💡 Tip: want the bigger picture before you start? Read Why DigitalDesk? The Ultimate Browser Workspace You Need Everyday to learn the idea behind the tool.
🚪 2. Two Ways to Open DigitalDesk
You can use DigitalDesk online or offline. Both versions work the same way, and neither needs an account.
🌐 Option 1: Use DigitalDesk Online
- Click Try Online DigitalDesk.
- The welcome screen, Your Digital Desk Drawer, opens in your browser.
- Select your data folder (see Section 3) and start working.
💡 Tip: bookmark the page so it is always one click away. In most browsers the shortcut is Ctrl + D (Windows) or Cmd + D (Mac).
💻 Option 2: Download the Offline Version
- Open the Download DigitalDesk – Offline Version page.
- Click the download button. A timer of 250 seconds (a little over four minutes) starts.
- When the timer finishes, your offline tool is ready to download. Save the file somewhere easy to find, such as your Desktop or Documents folder.
- Open the downloaded HTML file in your browser.
- Select your data folder and begin.
The offline version is lightweight, portable and works completely offline once downloaded — just open the HTML file and use it.
⚖️ Online vs Offline at a Glance
| Feature | 🌐 Online Version | 💻 Offline Version |
|---|---|---|
| How you open it | Click the link; it opens in your browser | Download once, then open the HTML file |
| Internet needed? | Yes, to load the page | No — works completely offline once downloaded |
| Login or account? | None | None |
| Where your data lives | In the data folder you select | In the data folder you select |
| Best for | Trying DigitalDesk quickly | Daily use, travel, or weak internet |
💡 Tip: not sure which to pick? Start online. If you like it, download the offline version for everyday use.
📂 3. First-Time Setup: Select Your Data Folder
Before you can use DigitalDesk, you choose one folder where your information will be stored. You only do this once.
- Open DigitalDesk. You will see the welcome screen with the message: "To get started, please select a data folder where your information will be stored."
- Click 📂 Select Data Folder.
- In the window that opens, choose an existing folder or create a new one, for example DigitalDesk Data.
- If your browser asks for permission to access the folder, allow it.
- Check the bottom of the sidebar: the Storage label should now say Selected Data Folder. Your workspace is ready!
❓ Why Does DigitalDesk Need a Folder?
DigitalDesk does not rely on browser-only storage. Your data is kept as JSON files inside the folder you select, so clearing your browser cache or history will not delete your workspace. It also means you stay in control: you decide where your data lives, and you can back it up simply by copying that folder.
✅ Folder Tips
- 📁 Use a dedicated folder just for DigitalDesk so nothing else gets mixed in.
- 📍 Pick a location you can find easily, such as Documents.
- 🚫 Do not rename, move or delete files inside the folder while DigitalDesk is using it.
- 💾 Make a backup copy now and then (see Section 20).
- 🔁 You can change the folder later with the 📁 icon in the top bar.
⚠️ Important: if the sidebar says Folder connection required, DigitalDesk is not connected to its folder right now. Click 📁 (or Select Data Folder) and choose your DigitalDesk folder again. Your data is still safe in the folder.
🏁 What You See on the Welcome Screen
Below the folder button, the welcome screen introduces the main tools: Quick Notes (jot down ideas and thoughts), Task Checklist (track your daily tasks), To-Do List (organize tasks with checklists), Collaborative Notes (share and like community notes) and Favorites (quick access to important items). An About DigitalDesk box highlights four strengths: secure local storage, cross-platform use in any modern web browser, an intuitive interface, and backups to a folder of your choice.
💡 Tip: if the folder window does not appear, make sure your browser is up to date, or try a recent version of Google Chrome or Microsoft Edge.
🧭 4. A Quick Tour of the Workspace
Once your folder is connected, the workspace has three parts:
- ⬅️ The sidebar on the left — your main menu.
- ⬆️ The top bar — search plus quick tools such as backup, fullscreen and help.
- 🖥️ The main area — where the panel you picked opens.
📋 The Sidebar Menu

💡 Tip: not sure what an icon does? Hover over it and wait a moment — most icons show a short label.
🏠 5. Dashboard
The Workspace Dashboard is your home base. Its tagline says it best: your work at a glance. Click 🏠 Dashboard in the sidebar to open it.
- 📝 New Note — jump straight into writing a note.
- ⏳ Due and overdue — a quick list of the things that need your attention: items that are due soon and items that are already late.
- ⚡ Quick actions — four shortcut buttons: Add task, Open To-Do, Calendar and Favorites.
💡 Tip: make the Dashboard the first place you look every morning. A 30-second glance at Due and overdue tells you what to tackle first.
🗓️ 6. Daily & Weekly Planner
The planner is the most powerful part of DigitalDesk, so it gets the most space in this guide. Its purpose is to help you build an executable 8-hour day from small activities, or break a weekly project into daily steps. As you check off work, you immediately see what is completed, what is remaining and what is behind schedule.
🧠 The Idea Behind It
Big tasks feel hard because they are vague. The planner asks you to turn them into small, clear steps (from 15 minutes to 2 hours each) and fit them into the working hours you really have. Time is assigned automatically after your last activity, so you always see a realistic picture of your day instead of an endless wish list.
🎛️ 6.1 The Planner Controls
- ‹ This week › — use the arrows to move to the previous or next week.
- Today — jump back to today's plan.
- Week / Projects — switch to the weekly schedule and the project-plan form (see 6.6).
- 📊 My Performance Report — review how your plans turned into results (see 6.7).
- 📅 Plan date — choose the date you want to plan.
- ⚙️ Change work hours — set your start time, end time and break (see 6.2).
- 🧩 Auto plan — let DigitalDesk arrange your activities across your working hours for you.
- ➡️ Move unfinished — carry activities you did not finish forward so they are not lost.
- 🔒 Finalize day — close the day when you are done so the results are locked in.
⚙️ 6.2 Set Your Work Hours
Tell the planner when you work so it can calculate how much time you really have.
- Click ⚙️ Change work hours. The Work schedule settings box opens.
- Under Apply to, choose Normal schedule (your usual hours for every day) or Selected day only (a one-time change for the day you are planning).
- Set your Start time and End time.
- Choose a Break: No break, 30 min, 45 min, 1 hour or 1.5 hours.
- Click 💾 Save work hours.
Your work hours are saved and reused until you change them, and your capacity is calculated automatically after the break.
🧪 Example: a day from 9:00 to 17:30 with a 30-minute break gives you 8 hours of planning capacity. On a half day, choose Selected day only so your normal schedule stays unchanged.
➕ 6.3 Add Small Activities
In the Add a small activity box (the hint reads "Plan a clear, executable step"):
- Type what you plan to do.
- Choose a duration: 15 min, 30 min, 45 min, 1 hour, 1.5 hours or 2 hours.
- Click ➕ Add to day.
The time is assigned automatically after the last scheduled activity, so you do not have to pick clock times yourself. Your activities appear under Today's schedule.
💡 Tip: keep every activity small and specific. "Write the first draft of the report intro" (45 min) is far easier to finish than "Work on report." If something needs more than 2 hours, split it into steps.
▶️ 6.4 Work Through Your Day
Each activity in Today's schedule has controls to mark when you Start it and when it is Done. As you check off work, the planner shows what is completed, what is remaining and what is behind schedule, so you always know where you stand.
📌 Remember: if you are behind, that is useful information, not a failure. Use it to adjust tomorrow's plan.
🌙 6.5 End-of-Day Tools
When your working day ends, use ➡️ Move unfinished to carry leftover activities forward and 🔒 Finalize day to close the day. This keeps your records honest and gives the performance report real results to analyse.
📆 6.6 Weekly Schedule and Project Plans
Click Week / Projects to open two areas:
- 🗓️ Weekly schedule — your daily steps laid out from Monday to Sunday.
- 🧩 Create project plan — turn a bigger goal into small scheduled steps.
To create a project plan:
- In Enter small steps, one per line, type each step on its own line.
- Set the Start date and End date.
- Tick Repeat each task on every day of the range if you want the same steps on every day (for example, a daily practice routine).
- Click 🗓️ Schedule project.
Each step defaults to 60 minutes. To use a different length, add a pipe and the number of minutes after the step, like this:
Research the topic | 30 Write the outline Draft the introduction | 45 Proofread and publish | 30
In this example, "Write the outline" keeps the default 60 minutes, while the other steps use 30, 45 and 30 minutes. After scheduling, check the Weekly schedule to see how the steps landed on your days.
📊 6.7 My Performance Report
The report helps you review your results without encouraging work beyond your selected hours. To open it, click 📊 My Performance Report.
- Choose a period: Daily, Weekly, Monthly or Overall / All Time.
- Click Analyse.
Use the weekly report once a week to learn how much you realistically finish, then plan the next week with that number in mind.
🌟 6.8 Planner Tips
- ✅ Plan the night before or first thing in the morning — five minutes is enough.
- ✅ Plan fewer hours than you have; leave breathing room for surprises.
- ✅ Keep activities between 15 and 90 minutes for the best focus.
- ✅ Finalize your day every day so the reports stay accurate.
- ✅ Use Selected day only for holidays, half days and busy days.
📝 7. Notes
Notes is where you capture ideas, meeting points, reminders and anything else you want to keep. Click 📝 Notes in the sidebar to open it.
✍️ Create a Note
- Click New Note.
- Add a clear title and write your note.
- Pick a category: General, Work, Personal, Ideas or Reminders.
- Watch the status line under the editor. It shows Ready plus a live count, such as 0 words · 0 characters, that updates as you type.
- Need to concentrate? Click ⛶ Focus editor for a distraction-free writing view.
- Click 💾 Save Note to keep it, or ❌ Cancel to discard it.
🗂️ Choosing a Category
- 📄 General — everyday notes that do not fit anywhere else.
- 💼 Work — meeting notes, project details, work reminders.
- 🏡 Personal — personal plans, shopping ideas, life admin.
- 💡 Ideas — brainstorms, content ideas, "someday" thoughts.
- 📌 Reminders — things you must not forget.
💡 Tip: write the title like a search keyword (for example, "Client call – budget points"). It makes the note much easier to find later with Search. Deleted notes go to the Recycle Bin, where you can bring them back.
✔️ 8. Tasks
Use Tasks for jobs that have a date, a time or a reminder. The panel has two lists: To Do on top and Completed below it.
➕ Add a Task
- Click ✔️ Tasks in the sidebar (or Add task on the Dashboard).
- Type your task.
- Set the Date and the Time it is due.
- Set Remind every by choosing hours (0 to 12 hr) and minutes (0 to 60 min).
- Click ➕ Add.
🧪 Example: a task due at 3:00 PM with Remind every 1 hr 30 min will keep reminding you every hour and a half until you complete it. Leave both boxes at 0 if you do not want repeat reminders.
☑️ Complete a Task
Tick the task's checkbox. It turns from gray to green, the task moves straight into the Completed list, and its reminders and due-date notifications stop, so you will not be nagged about work that is finished.
⚠️ Important: reminders are delivered through browser notifications. Turn them on in the Notifications panel first.
💡 Tip: Tasks and the Dashboard work together: anything due or late shows up under Due and overdue.
✅ 9. To-Do List
The To-Do List is for simple checklists: the quick, flexible lists that do not need dates or reminders. Click ✔️ To-Do in the sidebar, then click Add To-Do to start a new list and tick items off as you finish them.
🤔 Tasks or To-Do: Which Should I Use?
- ⏰ Use Tasks when something has a due date, a time or needs reminders.
- 🛒 Use the To-Do List for open-ended checklists, such as groceries, packing lists or a project's steps.
🧪 Example: "Pay electricity bill by Friday 5 PM" belongs in Tasks. "Things to pack for the trip" belongs in the To-Do List.
👥 10. Collaborative Notes
Collaborative Notes is the home for notes meant to be shared and liked as community notes.
- Click 👥📝 Collaborative in the sidebar.
- Click Add Note.
- Write your note.
- Click 💾 Save Note, or ❌ Cancel to discard it.
- Click a note to open it in a window that shows its title and a Close button.
⚠️ Important: treat this section as the place for notes you are happy to share. Keep private or personal information in your regular Notes instead.
⭐ 11. Favorites
Favorites is your quick-access shelf for the things you open again and again, such as websites, online tools, documents and reference pages.
➕ Add a Favorite
- Click ⭐ Favorites in the sidebar.
- Click Add Favorite or the ➕ Add New tile.
- In the Add New Favorite window, fill in the details.
- Click Add Favorite to save, or Cancel to close the window.
🔗 Open a Favorite and Copy Its Link
Click a favorite to open its Link Details window. From there, click Copy Link to copy the address, or Close to go back.
💡 Tip: add the pages you need every day — your email, your calendar, your most-used tool — so your whole routine starts from one place. You can also reach Favorites from the Dashboard's Quick actions.
📸 12. Screenshot Archive
The Screenshot Archive keeps your screenshots in the same place as the rest of your work. It is handy for error messages, design ideas, receipts, step-by-step instructions and anything else that is easier to show than to describe.
- Take a screenshot with your device's built-in tool and save it as an image file.
- Click 📸 Screenshots in the sidebar.
- Click Upload Screenshot and choose your image.
- Check the preview that appears.
- Click 💾 Save Screenshot to store it, or ❌ Cancel to discard it.
💡 Tip: images take more space than text. If your data folder grows large, remove screenshots you no longer need (deleted items go to the Recycle Bin first).
📅 13. Calendar
The Calendar gives you a clear view of your dates. Click 📅 Calendar in the sidebar (or the Calendar button in the Dashboard's Quick actions).
- ◀️ Previous and ▶️ Next arrows move backward and forward through time.
- Today brings you straight back to the current date.
💡 Tip: glance at the calendar when you plan your week, so you can spot busy days before they arrive and plan lighter activities around them in the planner.
🧘 14. Wellness
Good productivity needs healthy digital habits. The Wellness panel, titled Stay Safe Online. Stay Well., is your guide to digital safety and wellness in today's connected world. Its Quick Access Resources take you to useful LinkLinkGo pages:
- 🎯 Digital Wellness Course
- 🎓 Online Safety Course
- 🛠 Digital Wellness Tools
- 💼 Office & Online Tools
- 🤖 Tech Tips
You will also see 🔒 Privacy Management and ➕ Add More shortcuts at the end of the list. At the bottom of the panel, About LinkLinkGo.com explains that LinkLinkGo.com focuses on digital wellness, responsible device usage and online security.
⌨️ 15. Keyboard Shortcuts
Shortcuts save time once you know them. Click ⌨️ Shortcuts in the sidebar to open the Keyboard Shortcuts window, which lists every shortcut available in your version of DigitalDesk.
💡 Tip: do not try to memorize them all. Pick the two or three that match what you do most — such as starting a new note or opening search — and use them for a week until they feel natural.
⏰ 16. Alarms
Alarms are time-based alerts with a sound, perfect for daily routines, breaks and weekly habits. (Reminders for a specific job belong to Tasks.)
➕ Create an Alarm
- Click ⏰ Alarms in the sidebar, then Add Alarm.
- In the Add New Alarm window, set the alarm time and details.
- Choose how often it repeats:
- Once — rings one time only
- Daily — every day
- Weekdays (Mon-Fri) — work days only
- Weekends (Sat-Sun) — weekends only
- Monday to Sunday — pick one specific day of the week
- Pick an Alarm Sound: 🔔 Classic Bell, 🌊 Gentle Chime or 📟 Digital Beep.
- Click Add Alarm to save, or Cancel to close the window.
🧪 Examples: a Weekdays alarm at the start of your work hours, a Daily alarm to stand up and stretch, a Sunday alarm for your weekly review.
⚠️ Important: DigitalDesk runs inside your browser, so keep it open and your device volume up if you want alarms to be heard.
🔔 17. Notifications
The Notifications panel is the control center for reminders and alerts. Open it from the sidebar (🔔 Notifications) or by clicking the 🔔 bell in the top bar. The number beside the bell shows how many notifications are due.
✅ Turn Notifications On
- Open the Notifications panel.
- Click 🔔 Enable Notifications.
- When your browser asks for permission, choose Allow.
If alerts do not show up, click 🔍 Diagnose Notifications to check what might be getting in the way.
📋 The Panel Sections
- 📨 Recently Sent — a record of notifications DigitalDesk has already sent. Click Clear to empty the list.
- ⏳ Due — items that are due now or very soon.
- 🔁 Repeating Reminders — reminders that keep repeating, such as tasks with a Remind every setting. Click ⬇ Download reminders.json to save a copy of your reminders.
- 🚨 Overdue — items that have passed their time.
⚠️ Important: if you clicked Block by mistake, open your browser's site settings for this page and switch notifications back to Allow. Also keep DigitalDesk open in a tab so reminders can reach you.
🗑️ 18. Recycle Bin
Deleted something by accident? Do not worry. The Recycle Bin lets you restore deleted items easily. Open 🗑️ Recycle Bin from the sidebar to see what you have removed, and bring back anything you still need.
When you are sure you do not need the items anymore, click Empty Recycle Bin to clear it.
⚠️ Important: emptying the Recycle Bin removes items for good, so make a backup first if you are unsure.
🔍 19. Search
The 🔍 search box in the top bar helps you find notes, tasks, to-dos, favorites and more without clicking through every panel.
- Click the search box and type a keyword.
- Use the drop-down beside it to choose where to look: All, Notes, Tasks, To-Do, Collaborative, Favorites, Screenshots, Recycle Bin, Calendar, Wellness, Alarms or Notifications.
- Open the result you want.
💡 Tip: choose a specific area instead of All when you already know where the item lives — you will get shorter, cleaner results.
💾 20. Backup, Export, Import & Restore
Your data lives in your folder on your device, so protecting it is your job — and it is easy.
🥇 The Simplest Backup: Zip Your Folder
DigitalDesk itself points out a simple alternative to exporting: if your data is stored in a connected folder, you can make a zip file of that folder yourself. Anyone can unzip it and use it directly — no export needed. This is also the easiest way to move your workspace to a new computer or to share it.
⬇️ Export Your Data
- Click the ⬇️ Export icon in the top bar.
- An Export Data? window appears. It explains that the export downloads a full backup of your data as a JSON file. For large data this can take a moment and use meaningful disk space, and exporting again and again will pile up many large backup files.
- Click Export Data Anyway to continue, or Cancel to stop.
📦 Restore from a Backup
- Click the 📦 Restore icon in the top bar.
- Choose your backup file.
- Wait while the Restoring Backup window shows Reading backup file… Large backups can take a little longer.
The 📥 Import icon brings data into DigitalDesk from a file.
✅ A Good Backup Routine
- 📅 Back up once a week, and always before a big clean-up or before emptying the Recycle Bin.
- 🗓️ Put the date in the file name, for example DigitalDesk-backup-2026-10-01.zip.
- 🔀 Keep at least two copies, with one on a different device such as a USB drive.
- 🧹 Delete old backups you no longer need, so they do not fill your disk.
🔒 21. Privacy & Data Safety
DigitalDesk was designed around privacy:
- 🚫 No login and no account — nothing to sign up for.
- 📁 Your data stays with you — it is stored in the folder you select on your own device.
- 👀 No data tracking and no monitoring.
- 🛡️ Cache-proof — clearing your browser cache will not delete your workspace.
🧰 Simple Habits That Keep Your Data Safe
- 🔐 Protect your computer with a password or PIN.
- 👤 On a shared computer, use your own user account for your data folder.
- 🚫 Do not store passwords or banking details in your notes.
- 💾 Keep your backups in a safe place, just as you would your documents.
Want to know more? Read the LinkLinkGo Privacy Policy.
🌤️ 22. A Sample Day With DigitalDesk
Here is one way to put everything together. Adjust it to fit your own routine.
🌅 Morning (about 10 minutes)
- Open DigitalDesk and check the 🔔 bell and the Dashboard's Due and overdue list.
- Open the planner and confirm your work hours for the day.
- Add five to eight small activities, or try 🧩 Auto plan for help.
- Add any dated jobs to Tasks, with reminders where needed.
☀️ During the Day
- Mark each activity as started and done as you work.
- Drop stray thoughts into Notes (the Ideas category is perfect) so they do not distract you.
- Use Alarms for breaks, stretching and lunch.
- Save useful pages in Favorites and useful pictures in Screenshots.
🌙 End of Day (about 5 minutes)
- Click ➡️ Move unfinished to carry leftovers forward.
- Click 🔒 Finalize day to close the day.
- Take a quick look at your daily performance report.
📆 Once a Week (about 15 minutes)
- Open the weekly My Performance Report and see what you really finished.
- Plan next week's projects under Week / Projects.
- Zip your data folder as a backup.
🛠️ 23. Troubleshooting & FAQ
❓ The sidebar says "Folder connection required." What should I do?
DigitalDesk is not connected to its data folder at the moment. Click 📁 or Select Data Folder and choose your DigitalDesk folder again. Your data has not been deleted — it is still in the folder.
❓ Did clearing my browser cache delete my notes?
No. DigitalDesk does not use browser-only storage as its main storage. Your data stays in the folder you selected. Only deleting or moving that folder removes your data, so back it up regularly.
❓ I do not get notifications. What can I check?
- Open the Notifications panel and click 🔔 Enable Notifications.
- Click 🔍 Diagnose Notifications.
- Check your browser's site settings and make sure notifications are set to Allow for this page.
- Check that your device is not in a silent or do-not-disturb mode.
- Keep DigitalDesk open in a browser tab.
❓ My alarm did not ring. Why?
Make sure DigitalDesk is open, your device volume is up, and the alarm's repeat setting (Once, Daily, Weekdays, Weekends or a single day) matches the day you expected. You can also try a different Alarm Sound.
❓ How do I move DigitalDesk to another computer?
Zip your data folder, copy it to the new computer, unzip it, open DigitalDesk, and select that folder. Avoid editing the same folder on two computers at the same time.
❓ Why does Export warn me about disk space?
A full export can be large, and repeated exports create many large files. For everyday backups, zipping your data folder is simpler. See Section 20.
❓ Do I need an account? Is it free?
No account and no login are needed, and DigitalDesk is free to use.
❓ Does it work without internet?
Yes, if you use the offline version. Once downloaded, it works completely offline.
❓ How do I go fullscreen?
Click the ⛶ icon in the top bar.
❓ Where can I get more help or share an idea?
Click ❓ in the top bar to open this guide any time. To report a problem or suggest a feature, visit Help Us Improve: Report Problems & Share Ideas.
